i'm looking for someone who is very smart with microsoft access to develop this database for me.
this will be a database of my customers, so it needs to be done with the following requirements:
1) must contain all the following fields: status, first name, last name, company name, address1, address2, city, postal code, country, phone number, fax number, email, account number, credit card info, recurring billing cycle, website, serial number, mac address, subscription, plan details, notes.
2) a new entry form, which will create a new profile for a customer in our database.
3) the ability to edit/delete any customer profiles, and/or customer data within a profile.
4) you need to make it user friendly, so i don't have to train my staff too much on this.
the main reason why i'm using microsoft access not excel, is because i need it accessible by multiple people at once.
i'm not interested in doing it on mysql database, because this file will be uploaded to a sharepoint server, where it will be shared between users. if you do have a different way to create a similar database which will work seamlessly on sharepoint, then please suggest it.
a breakdown of #1 and #2 points above:
-status; should be a drop down menu of 4 options; Active, Inactive, Pause, Blocked.
-first name and last name and company name; should be standard fields. but i want the ability to add a 2nd+ names to each profile. for example customer wants to put the account in his name and his wife's name, so i would want both their first and last names, i want to be able to put both in there without a problem.
-for address1 and address2, city, postal code, country; i would like to use [login to view URL] if possible, or any other similar address validation system. if it's not possible, then please let me know, i can live without it as a start.
- phone number, and fax number; the fields should only allow 10 digit numbers, not less and not more, no dashes or any other characters. but when it's getting displayed, i want it with spaces like "111 222 3333", but when i'm doing data entry, i will not put spaces, i will type "1112223333". i also want to be able to add 2nd+ phone numbers when needed.
- email address should be a standard field
- account number should be a standard field
- credit card info; should have 3 fields, first field is the card number should accept from 14-19 digits, second field will only accept 4 digits for the expiry date, third field will accept 3-4 digits for the CVV.
- recurring billing cycle; should be a standard field.
- website; should be a standard field.
- serial number and mac address; should be standard field
- subscription; should be standard field.
- plan details; should be a standard field.
- notes; this is the most important field and the whole reason why i want to use this database. when my customer calls me on the phone, i want to open his profile, then create a new note under his profile by pressing a button "New Note", which will automatically put a time/date stamp and a 6-digit reference number to each note created, then i would get an empty field to write all the notes regarding the call. all notes will be saved permenantly in each profile created regardless of the age of the note. if too many notes slow down the operation of the database, then maybe you can create some kind of an archiving system which will only archive old notes after say 2 years.
- the entry form should have all these fields, none of the fields are required, so i want to be able to create a profile with name and no phone numbers and no address. or email address, full address and no names, etc...
- when customer calls, i want to be able to search by ANY of the fields above regardless, and i want to be able to select his profile and open it, to view his details, and to read old notes or write new notes on his account. the search function should allow me to search phone numbers "1112223333" not with spaces, not with dashes or any other characters.
