Responsibilities:
* Creation of procedures, forms and checklists.
* Support company personnel, and contractors acting on behalf of company, providing guidance as to both the data and the document management processes.
* Ensure all aspects of documentation are effectively controlled (design documentation, technical and non technical documentation, quality records, publications, materials, drawings,
vendor manuals. etc..) by creating a filing system.
* Provide As-built technical data, drawings and correspondences.
* Ensure original design drawings are properly field and instantly retrieved.
* Control of issuing all documents and drawings in serial number to expedite tracking.
* Organize and register the construction drawings that belong to different project activities.
* Register and issue all project documentation into database for tracking and expediting purposes, engineering requisitions, project files and various engineering files.
* Carry out periodic checks on document transmittals; prepare reports as required by management.
* Identify the source documents, priorities and timings required by designers, as well as negotiate deadlines for release of documents between different parties.
* Ensure that contractors understand specified requirements (document numbering, software utilized) and verifies that these information have been forwarded to sub-contractors and
vendors.
* Build database for all the technical and correspondence contents.
* Generate periodic and non-periodic lists as well as create and archive history folders.
* Working with key members to create or rewrite processes.
*Keep in communication(through email & telephone) with donors, partners and staffs.
Training Team responsibilities include:
* Training of new employees in various locations (office & site).
* Participant at continuous rapid improvement team meetings dealing with quality and training.
