OK, well, it's quite long but not that complicated I think. Website requirements The site should be CSS driven with a database. The site is aimed at bands, acts and entertainers as well as people who are looking for this type of act. It is a mix of Myspace, a blog, a calendar, mail list, simple financial package as well as being a great way to find an act. The acts should be searchable by keyword. The profiles should be secure. Customisation of act profiles should be considered for inclusion at a later date. Act Profile Several member profiles can be grouped under an Act Profile - One band with four members can either have four profiles grouped under an Act Profile. Act Profile is a group which has members added to it later the person who sets the group up first is the owner/administrator, and can create, add or remove Act members on the Act Profile. However once an Act member has logged in and created their password, the Act Profile owner/administrator can only disassociate the Act member from the act. In other words they cannot delete the Act member profile. The Act Profile owner/administrator can also set the level of group access, Administrator, Assistant or Act Member. Administrators - Full Act Profile editing, primary contact change, member creation and addition, upload pictures, delete pictures, delete comments. Add, delete, modify events to calendar. Full access all areas. Assistants - Upload pictures, delete pictures, delete comments. Add, Modify events to calendar. Housekeeping role. Act Members - No access to group profile. Can add and remove photos or comments they have uploaded or added. No access to edit other Act members comments or photos. Can add to the notes section on an event they are included on. Act Profile Mandatory information 1) Act Name - or Stage Name 2) Category - Band, Magician, Singer etc... Categories will be a navigation component and display a full category list of all member profiles. This can be a drop down list if necessary 3) Act Description - 150 words text box 4) Suitability check boxes - any number can be chosen (All ages) (0-5) (5-10) (10-15) (15-18) (18+) (Adults Only) Act Profile Voluntary Information 5) Years performing 6) Number of performers 7) Location (check box of "willing to travel") 8) Notes - 250 words for further information on the act 9) Act Photo - Upload an Act Profile photo. Optional a holding image is displayed until it is changed 10) Act Banner - a banner ad for the act to change at the top of their profile for their logo or an event notification etc... 11) Act Rider - Added to the contract when generated 12) Act Technical Specification - Added to the contract when generated 13) Act Contract - A specimen for clients to read has all the details inserted once a gig is confirmed. You should then be able to add Act Members to the Act Profile. The Act Profile cannot be added to a category unless it has at least one member with the following mandatory information: Act Profile Add a Member 1) First Name 2) Last Name 3) Contact Telephone Number - Mandatory shown to public on the Act Profile 4) Email Address - Mandatory shown to public on the Act Profile 5) Address - Optional shown to public on the Act Profile 6) Post code or zip code - Optional shown to public on the Act Profile 7) Country - Optional shown to public on the Act Profile 8) Time Zone - To help with calendar and reminders 9) Photo - Upload a Act Member profile photo. Optional 10) Brief description - 100 word text box for Likes/Dislikes, notes etc... Optional 11) Act-ive - This check box adds the Act member into the public Act Profile, unchecking it means your profile is not viewed by the public under the Act Profile group. Useful for managers, admin staff or Act members who are resting or not on the current rosta of performers. When adding additional Act Profile members there should be a "Primary contact" check box which alters the primary contact when checked and the contact details displayed on the Act Profile are updated with the new Primary Contact, Act Profile Owner/Administrator can only do this. You should then be able to add more Act members as necessary. When the Act Profile is created with the first member they receive an email for the to confirm the email address is correct. Every Act member when added is sent an email to confirm the validity of the email address when they click on the unique URL they are directed to a page which gets them to confirm their details and specify a password. This password is unique to the Act member and cannot be accessed, deleted or reset by anyone other than the Act member who set it up. The usual lost username/password routine should be included. No Act Profile can be fully deleted unless all Act Member profiles are unassociated with the Act Profile. When an Act member is unassociated they receive an email stating that they have been removed from the Act Profile. An Act member's profile can exist even though the act has been deleted Act Photos This is for displaying photos of recent gigs When you upload a photo, a thumbnail is created in a gallery. Clicking on a thumbnail opens a full size image, with a next and back button underneath. The buttons only scroll you through the images provided by the search function. It should resize huge pics and process and create the thumbnails. The photo upload feature should allow you to group photos by an event. And then display them by event, date, or all. Act members must either create an event gallery or add to an existing event gallery if permission to upload pics to that event has been set by the administrator. Act members create events and they can be set as one of three things Private - All photos uploaded are only seen by the Act member in his profile Act All - All Act members of the Act Profile can see photos listed in an Act All event but the public cannot Public - Can be viewed by anyone. Events must be dated using the Act member's calendar. Act All and Public event galleries are autmoatically added to the group profile. Administrators can choose to not display Act member's photos under the Act Profile if the Act member has marked the event as Act All or Public when creating their event. However an events status can only be changed by the Act member if created under their profile. Administrators cannot change an individual Act members event gallery status just whether it is displayed under the Act Profile or not Act events created by Administrators are treated the same as ordinary Act members and the photos are listed directly under their Act member profile and the event status is selected to show the photos under the Act Profile. Events created by non Administrators exist under their profile only. Administrators can choose to not display individual images from event galleries under the Act Profile but this only stops them showing under the Act Profile not from the individual Act members profile events gallery. Captions/text up to 50 words per caption can be added to the large individual images. If the gallery is Act All all Act members can comment on the photos and only Act members will see the photos and comments. If it is set to Public anyone can see and comment on the photos, public comments are subject to administrator approval. Calendar All Act members have their own calendar which is independant of the group. All events added through their profile can be hidden from other Act Profile group members. So if they wish to hide a Dr.'s appointment from other members or another personal matter they can do. All additions are private by default. There are three settings for events in an Act member's calendar: Private - All items entered into the calendar are only seen by the Act member in his profile Act All - All Act members of the Act Profile can see events listed as Act All but the public cannot Public - Can be viewed by anyone. Act Profile Group Calendar The Act Profile group calendar is controlled by the Act Profile administrator. Once an act member is listed under the Act profile all events added to the Act Profile calendar get automatically added to their Act member calendar. They cannot delete or edit Act Profile events, but can make comments on it. The Act profile calendar can be set to: Public - Shown the Act Profile calendar to the public Private - Omitted from the profile unless you have logged in as an Act member and have access rights to that calendar. Events on the the calendar can be set to: Public - All items entered into the calendar can be seen by anyone, registered, members, users Advanced Events - Same as Public only upcoming events are shown Expired Events - Same as Public only completed events are shown Private - Events only shown to registered members of that calendar Events One of or repeating with controls to set when repeats occur. When deleting repeat events you should be able to specify either ALL instance are deleted or just the one instance. Any change to the details either here or below are automatically emailed to all Act Profile members to keep them up to speed on any changes. Only confirmed gigs are displayed if the calendar is set to public. And only the Event Title, location, address, date and time are shown. All other parameters are strictly private for the admistrators eyes only. The following information should be collected for an event 1) Event Title 2) Event Status - Enquiry, Light Pencil, Medium Pencil, Heavy Pencil, Confirmed, Cancelled 3) Date 4) Time to arrive 5) Time performance starts 6) Location Address 7) Location Tel Number 8) Client's name - Either direct or agents have a drop down box of regular customers. 9) Client's email address - MUST HAVE THIS 10) Client's address - if same as location have a check box 11) Contact at event - if same as Client's have a check box 12) Contact's Telephone number (if different to 6) above) 13) Reminder set - Offer a choice of 1-24 hours before gig getting an email with all the gig details on it 14) Notes - Text box for any specifics or special instructions, expenses, options etc... 15) Net Fee - The fee less taxes 16) Tax - Any local tax, like vat added to the net fee 17) Total fee - Net Fee plus Tax 18) Payment status - Owed, Deposit, Paid 19) Regular Client - A checkbox to put the details in the regular client's list above. 20) Contract approved You should be able to see a list of all Act members who will be emailed a notification of the gig, when it is set and also the reminder. When an event is set to: "Confirmed" a link or button is shown which says "Generate Contract" Clicking on this adds all of the event info less items 13, 14, 18 and 19 above into a standard contract, with the Act Profile details included as set and filled in by the Act Profile Administrator. This as an RTF or PDF document is then emailed to the Administrator and the Client for approval. Once approved the Administrator can check the contract approved box and the gig is then finalised as APPROVED in the calendar and all Act Members are notified. Act Finances To help keep an eye on payments etc. The net, taxes and total as listed in the calendar section can be displayed here. The totals can be shown for any month, or a specific period between two dates Payment status choosing one of the three - Owed, Deposit, Paid Owed - Lists balance outstanding and a list of the events you are owed for. There will be two totals distinguished by two colours: A) Green denotes gigs to be performed B) Red denotes gigs that have been performed Then you have three totals displayed A, B and A+B. Deposit - Lists all gigs where a deposit has been paid. There will be two lists distinguished by two colours: A) Green denotes gigs to be performed B) Red denotes gigs that have been performed Paid - Lists all gigs you have been paid for, you must specify a date range. A) Green denotes gigs performed B) Red denotes gigs paid for but not performed yet Act Emails Members of the public can add themselves to receive Act notifications via email, as per a newlsetter or bulletin. The bulletins or newsletters should have a few templates to choose from (10?). Their should be a simple design section to allow you to create an eye pleasing design. You then select which newletter list you want to send the newsletter too. The newsletters are saved for reviewing at a later date, the last 12 are saved. The newsletter is also automatically posted to the public Act Profile as a blog post. Images listed in the public profile can be added to the newsletter. Act Emails - Fans You can then choose to send this bulletin or newsletter to your fans or subscribers. Subscribing and unsubscribing should happen automatically. Administrators should only have access to this feature. There should be a form for Fans to subscribe' First Name, Last Name, Telephone Number* and Email address. *Telephone number is not mandatory all the other fields are. Act Profile administrators should have access to add these email address manually, either one at a time or in batches via a CSV file. However when an administrator adds a name an automatic email is sent asking the user if they wish to subscribe and offering a confirmation URL, if there is no confirmation then the user is not subscribed to mailouts. Act Emails - Industry There should also be a second newsletter list for entertainment industry people only to allow the act to notify industry people of their latest developments. Industry mail shots should not be sent to fans. The administrator should have access to add these email address manually, either one at a time or in batches via a CSV file. First Name, Last Name, Company Name, Telephone Number and Email address. However when an administrator adds a name an automatic email is sent asking the user if they wish to subscribe and offering a confirmation URL, if there is no confirmation then the user is not subscribed to mailouts. Comment and Testimonial Section Like a guestbook, people can leave a comment. All comments are public but require approval from the Administrator. Comments can be tagged by the user or administrator as either Comment or Testimonial, and the comments can be sorted and displayed by this attribute. Marketing Tab This tab is password protected, clicking on it pops up a username and password prompt. This username and password is set by the administrator. This tab access the marketing properties of the act, such as hi res photos, logos, and other images which a venue or event organiser may wish to use or access can be given to a printer to download. The hi res pics or image files are uploaded via an marketing images upload section on the administrator panel(10 images are allowed to a max of 5 Mb each). A thumbnail is generated, as well as a download link to the file. The user/password can then be given to allow restricted access to the hi res images. Administrator reminders. All gigs which are not confirmed appear in the reminders section. These should be hyper links which allow administrator to click on the reminder and it shows the details for the event, including date etc next to the reminders list. All gigs which have a fee inserted but have not had the "paid in full" check box marked Any contracts which have yet to be approved All members who haven't confirmed their addition to the Act Profile Any comments which require approval Any photo's which require editing - listed by event List of Act All and Public changes all Act members have made since the last log in To do list - Which can be added to. Act Blog All Act members have their own blog which is independant of the group. All blog posts added through their profile can be hidden from other Act Profile group members. All blog posts are private by default. There are three settings for blog posts in an Act member's profile: Private - All items entered into the calendar are only seen by the Act member in his profile Act All - All Act members of the Act Profile can see events listed as Act All but the public cannot Public - Can be viewed by anyone. Posts listed as Act All or Public are also added to the Act Profile blog section. If an administrator wishes to exclude an Act members blog post that should be an option. All blog posts should be searchable and dated. Administrators can set their posts to be shown by default in the Act Profile blg section. Photos from the Events Galleries can be added to blog posts, but only photos which are listed as public in either an Act member's profile or the Act Profile itself. All blog posts are also emailed to the Act member for archiving. Search Function All Act parameters should be searchable - plus some member details' name and email address Contact the act: A form is shown with the following details required 1) Name 2) Date 3) Location 4) Gig Details Act Profile export function CSV or Excel export of the database. Maybe with the ability to specify, calendar, members, finances, regular clients. Act member export function CSV or Excel export of the Act member calendar. Payment Integration. After 1 year this website will become a subscription service. I wish to integrate Worldpay and paypal so that users can subscribe when creating their profiles. Advice on how best to do this will be sought from the successful bidder. Full error checking and bug reporting must be done. Installation to my webservers will be expected and final payment will be on a full working website completed to my satisfaction. After an initial deposit, critical stage payments will be negotiated. I am open to your terms on this.
