Startup accountancy advice and Xero setup

We are an early stage startup company and we are looking for a UK accountant to clarify our reporting requirements and provide us with the basic knowledge and tools for tax and statutory reporting. Our expenses and revenue have been entered in our accountancy software Xero and two VAT returns have been completed. We are able to generate balance sheet and cash flow statements and in general, our books are in good order but we believe that there are some minor changes to be made to correctly account for our VAT refunds. There are approximately 50 expense entries, 5 BACS payment receipts, two VAT refunds and two Director’s Loan accounts. We are looking for a trust worthy and competent accountant to carry out the following activities (expected to take up to a day in total): 1) Perform a basic review of the current accounts in Xero, and amend any incorrectly captured or mis-categorised expenses and income (e.g. VAT refunds). 2) Clarify our reporting requirements and create a list of dates that when we need to report: a. HMRC for corporation tax b. HMRC for VAT reporting c. HMRC for SEIS reporting / submission d. Company’s house for statutory reporting 3) Align our Company’s accounting and reporting periods and provide basic instructions regarding what needs to be sent for each report 4) Run example reports from Xero for each report type and provide basic instruction and a Skype demo to one of the directors 5) Advise on our eligibility for R&D Tax Relief (CIRD80150) and how and when we might apply for it We will provide the following information upfront and any required further information on request • An initial telephone meeting with the two primary directors (approx. 20 mins) to outline the company situation and answer any questions • Our company details and further background, company number, UTR etc • Full delegated access to our Xero accounting software, showing all payments and receipts since company inception • If direct contact with HMRC or Companies House is required we will either appoint the successful applicant as an agent or contact them on your behalf on a three way conference line during office hours We will ask that the following be delivered upon completion of the job: • Modifications to Xero set up (e.g. accounting period, VAT refund entry) • Example set of basic financial reports (i.e. balance sheet, P&L reports and VAT reports after any corrections are applied) • Draft letters or a list any actions to notify HMRC or Companies house of revised reporting period / financial year end • A calendar of reports required and basic instructions • Recommendations and guidance for applying for R&D tax relief • A brief Skype overview (20-30 mins) to show the directors how to maintain Xero and how to run reports
